These General Terms and Conditions apply to participation in the Bi+ World Conference, organized by Bi+ Nederland.
These Terms apply in addition to the Conference-specific Cancellation Policy and Code of Conduct. In case of conflict, the Conference Cancellation Policy shall prevail with regard to cancellations and refunds.
1. Organizer

2. Registration
Registration for the conference is completed via the official registration process.
Bi+ Nederland reserves the rights to refuse or cancel a registration in justified cases, including but not limited to:
- Violation of these Terms,
- Breach of the Code of Conduct,
- Capacity limitations,
- Failure of payment within the set timeframe.
Participants must be at least 18 years old at the time of the conference.
3. Language
The official language of the conference is English. No simultaneous translation will be provided unless otherwise stated.
4. Accessibility
Bi+ Nederland aims to make the conference as accessible as possible. While we will make every reasonable effort to accommodate accessibility needs, we cannot guarantee that all requests can be fulfilled. If you have specific accessibility requirements, please contact us at conference@biplus.nl at least four weeks before the event so we can explore possible arrangements.
5. Changes to the program
The organizer reserves the right to modify:
- The program
- The schedule
- Speakers
- Session formats
- Venue within the same city or region
Such changes do not entitle participants to a refund unless otherwise stated.
6. Ticket transfer
Conference tickets may not be transferred to another participant without consulting Bi+ Nederland. Any requests regarding ticket transfer should be done via conference@biplus.nl
7. Visa
Bi+ Nederland will assist in the visa process as far as the Bi+ Nederland deems feasible and may provide invitation letters upon request, but does not guarantee visa approval.
Visa refusal does not entitle the participant to a refund beyond the applicable Cancellation Policy.
8. Photography
The conference will be photographed and may be filmed or recorded.
By attending, participants acknowledge that they may appear in photographs or recordings used for:
- Promotional purposes
- Website and social media
- Reports and publications
Participants who do not wish to appear in such materials must inform Bi+ Nederland when arriving at the conference.
9. Cancellation of the conference
Bi+ Nederland reserves the right to cancel or postpone the conference due to:
- Insufficient registrations
- Force Majeure
- Circumstances that make it impossible or unsafe to hold the event
In case of cancellation by the organizer, participants will receive a refund of the paid conference fees and accommodation booked through the organization.
Bi+ Nederland is not responsible for additional costs incurred by participants, including but not limited to visa fees, insurance, or independently booked accommodation.
Bi+ Nederland shall not be held liable for failure to perform its obligations if such failure results from circumstances beyond its reasonable control. Force Majeure includes but is not limited to natural disasters, governmental restrictions, public health emergencies, war, terrorism, strikes or civil unrest.
In such cases, Bi+ Nederland will make reasonable efforts to offer an alternative solution or partial refund where appropriate.
10. Code of Conduct
All participants must adhere to the Conference Code of Conduct.
Bi+ Nederland reserves the right to remove any participant from the conference without refund if their behavior:
- Violates the Code of Conduct,
- Causes disruption,
- Threatens the safety or well-being of others,
- Is discriminatory, harassing, or abusive.
Removal decisions are at the discretion of the organizer and are final.
11. Liability
Participation in the conference is at the participants’ own risk.
The organizer’s liability for direct damages is limited to the amount paid by the participant for the conference ticket.
The organizer shall not be liable for:
- Indirect or consequential damages
- Loss of income
- Travel disruptions
- Loss or theft of personal belongings
Nothing in these Terms excludes or limits liability where such exclusion is not permitted under applicable law, including liability for intent or gross negligence.
12. Insurance
Participants are responsible for arranging their own:
- Travel insurance
- Health insurance
The organizer does not provide personal insurance coverage.
13. Data protection
Details on data protection and privacy are provided in the Privacy Policy.
14. Dispute Resolution
Any disputes arising out of or in connection with these Terms shall be governed by Dutch law. The parties will first attempt to resolve disputes amicably. If no resolution is reached, disputes shall be submitted to the competent courts of Amsterdam, the Netherlands.
