Cancellation Policy – Bi+ World Conference

This cancellation policy is specifically applicable to the Bi+ World Conference and overrides the General Terms and Conditions of Bi+ Nederland for this event. Because there are paying participants and participants with a scholarship, different policies apply depending on your ticket. Below you will find an overview of the cancellation procedure.

Self-paying participants

Participants may cancel their registration and request a (partial) refund of the conference fees paid. The refund amount depends on the cancellation date, as follows:

  • On or before 15 June: Full refund (100%) of the paid conference fees.
  • After 15 June and on or before 30 June: Partial refund (50%) of the paid conference fees.
  • After 30 June: No refund will be granted.

All deadlines apply to 23:59 CEST on the stated date.

Accommodation fees will only be reimbursed if the conference organization succeeds in reallocating your room to another participant. This policy applies exclusively to accommodation booked through the conference organization. Bi+ Nederland is not responsible for accommodation arranged independently by participants.

To cancel your participation, send an email to conference@biplus.nl with your cancellation request. The date the email is received will be considered your official cancellation date.

Cancellation deadlines are strict. No additional refunds will be granted for personal circumstances, including illness, travel disruptions, or other individual situations.

Refunds will be processed within 45 days of the cancellation confirmation and will be issued via the original payment method. Any transaction fees incurred due to cancellation and refund will be charged to the participant and deducted from the refund amount. Additionally, a 5% administrative fee will be applied to all refunds.
